Expense management · West Africa

Expense management software for organisations in Nigeria, Ghana, Côte d'Ivoire, Senegal and across West Africa.

One approval trail, whatever the country, the currency or the e-invoice.

West African tax authorities are moving invoices online: the NRS Merchant-Buyer Solution in Nigeria, E-VAT in Ghana, the FNE in Côte d'Ivoire, certified invoices in Benin, Niger and Burkina Faso. Creodata keeps that evidence with each request, routes it through your approval chain and posts it to Business Central.

Country by country

Expense evidence and payments, country by country.

What a finance team needs to know before it chooses an expense management system: how organisations pay, the tax invoice that supports an expense, and the data protection law. The eight UEMOA countries share the CFA franc (XOF), the BCEAO and its PI-SPI instant payment platform.

Checked against published sources on 29 September 2026; not tax or legal advice. "Not found" means our search found no scheme or law, not that none exists. Creodata keeps tax documents with each request; it does not connect to or validate against any tax authority's system.

Controls

The same finance controls in every West African country.

Whatever the country, internal audit, the tax authority and donors ask the same questions of every payment. Each control maps to a capability of the expense management system.

Apply the delegated authority in your approval policy

Each supplier invoice, petty cash or cashbook payment routes through the chain set for its department and request type, for example Head of Department, Finance Reviewer and CFO, with an amount threshold deciding how requests are split.

Approval chains

Separate who asks, who approves and who pays

Submitter, Approver, Finance Reviewer, CFO and Admin are distinct roles with their own queues, and every user signs in through Microsoft Entra ID.

Keep the tax invoice behind every claimed expense

Every invoice and receipt is attached to its request and stored in SharePoint Online, linked to the approval and the ledger entry. Finance can require the e-invoice or standardised invoice document before a request is approved. The system keeps the document; it does not connect to or validate against the tax authority's system.

Pay only what was approved

Payment follows final approval. M-Pesa B2C and B2B payment is built in for Kenya. Paying out over mobile money, PI-SPI, NIP, GhIPSS or your bank is an integration we scope with each organisation; approvals, documents and posting work the same either way.

Approvals within agreed timelines

Durable orchestration watches every pending approval and escalates overdue items to the next approver, recording the escalation against the request.

Books that match what was approved and paid

Approved items post to Microsoft Dynamics 365 Business Central over OData with their SharePoint documents linked, so nobody re-keys a voucher.

Business Central posting

This maps software capability to common finance controls; it is not audit or tax advice. M-Pesa payment is built in for Kenya; other payment rails and ERPs are confirmed per organisation during scoping.

Who it's for

For West African organisations that must prove every payment.

Expense management earns its place where a missing approval or tax invoice becomes an audit finding.

Banks and financial institutions

Internal expense and supplier payments at West African banks and financial institutions, under delegated authority and maker-checker, with evidence auditors accept.

NGOs and donor-funded programmes

Programme and field payments in West Africa, each traceable to its approval and its documents for donor audits.

Legal and professional firms

Office payments and disbursements authorised and documented before money leaves.

Large and multi-entity enterprises

Different chains per department and request type, one audit trail across the organisation.

FAQ

Frequently asked questions.

Which West African countries does Creodata's expense management system serve?

The system runs on Microsoft Azure and serves organisations across West Africa. Nigeria, Ghana, Côte d'Ivoire and Senegal have their own pages, and the table above covers twelve more countries, from Mali and Burkina Faso to Sierra Leone, Cabo Verde and Mauritania.

Does it integrate with e-invoicing platforms such as the MBS, E-VAT or the FNE?

No. The system does not connect to any tax authority's system or validate invoices. It keeps the e-invoice or standardised invoice with each request, and finance can make that document a condition of approval.

Which payment methods are supported in West Africa?

M-Pesa B2C and B2B payment is built in for Kenya. In West Africa, payment over mobile money, PI-SPI, NIP, GhIPSS or your bank is an integration we scope with each organisation. Approvals, documents and Business Central posting work unchanged.

Is the website available in French and Portuguese?

Yes. The product pages are available in French, Portuguese and Arabic as well as English, and we can take you through the system in French. Confirm the languages your users need in the application itself during scoping.

Which ERP does it post to?

Approved items post to Microsoft Dynamics 365 Business Central over OData with their documents linked. For any other ERP, we confirm the integration path during scoping.

How much does expense management software cost in West Africa?

We quote per organisation. The price depends on the number of users and entities, the request types and approval chains you need, and the integrations involved. Ask every vendor for a three-year total cost on the same basis, covering licences, implementation, payment and ERP integration, hosting and support, so the quotes can be compared.
