SACCO member onboarding software, mapped to SASRA's member rules.

Individuals, groups and companies join a SACCO with different paperwork, and SASRA's guideline asks for different records from each. BAOS gives each kind of member its own form, collects the documents against a checklist, lists every person involved for screening, and puts the application in front of your staff to review, in English or with Swahili form text.

What BAOS does for a SACCO.

BAOS is the onboarding workflow beside your core SACCO system and your identity-verification provider. These are its parts a SACCO uses.

A form for each kind of member

Individuals on the personal form, chamas and other groups on the group form, companies and institutions on the business form. The applicant chooses which kind they are first, and gets the form your SACCO published for it.

Member KYC captured at source

Identity and ID document details, KRA PIN, employment and income, source of funds and wealth, addresses and next of kin, as your published form asks for them.

Officials and signatories of group members

For a group joining as a member: the officials who sign, the member register and the meeting resolution, with each official's ID and photo.

Online, or captured by staff

Members apply in the self-service portal, save and resume drafts, and track the application by a private link, or your staff capture the application for them.

Swahili on the form

Each field can carry Swahili text beside the English, so members can fill the form in either language. Your team adds the Swahili text in the form builder; the staff interface is in English.

Review by branch

Branch managers and reviewers see their own branch's applications. Reviewers claim an application, verify documents, approve or reject it, and record the account number once your core system opens the account.

SASRA's member rules, and where they land.

SACCOs regulated by SASRA follow its 2024 AML guideline, SASRA/GG/1/2024, not CBK's due-diligence guidance. Its member due-diligence rules, paraphrased:

What BAOS leaves to other systems
  • It does not check IDs against IPRS or PINs against KRA.
  • It lists members for screening, but the screening runs in your screening tool.
  • It does not open the member in your core system: staff do, and record the account number in BAOS.
  • It runs in a web browser, with no mobile app or USSD channel.

Frequently asked questions.

Does CBK's 2025 due-diligence guidance apply to SACCOs?

No. It covers banks, mortgage finance companies, microfinance banks, payment service providers, money remittance providers, forex bureaus and non-deposit-taking credit providers. SACCOs regulated by SASRA follow its guideline, SASRA/GG/1/2024.

What does SASRA require to onboard a member?

In summary: an original ID, passport or alien ID for individuals; the certificate of incorporation and recent audited accounts for companies; the certificate of registration and the officials' or signatories' identities for groups; verification from a reliable, independent source such as IPRS or the KRA database; and the beneficial owners of members that are not individuals.

Can members fill the form in Swahili?

Yes, once your team adds Swahili text to the fields in the form builder. Each field carries English and Swahili; the starter templates ship in English.

Can we onboard members at branches and in the field?

Yes. Staff can capture an application for a member, and members can apply online and resume a saved draft. BAOS runs in a web browser; there is no mobile app or USSD channel.

Does BAOS replace our core SACCO system?

No. BAOS runs onboarding up to the decision. Staff then open the member's account in your core system and record the account number in BAOS.
